Administrative Assistant-Sales & Marketing

Job Summary

This full-time non-exempt position reports to the Inside Sales Manager. The Administrative Assistant will assist with administrative tasks to support the Sales and Marketing Department.

Essential Functions

Work with the Sales Team to produce and update external promotional materials including literature, website & content, social media posts, etc. Ensure consistent use of Powell brand is in line with company guidelines.

Primary phone backup for answering incoming calls (when Accounting Assistant is out or unavailable).

Order and maintain inventory of office supplies for Sales and Field Service Departments.

Assist in developing content and coordinating arrangements for trade shows/exhibitions (booth, swag, etc.).

Assemble and conduct company mailing activities (invitations or other communication materials that need to be created and distributed).

Take photos/videos of Powell product equipment during and at completion of the build process. This includes as built photos, marketing photos/videos, training videos, and maintenance tip videos.

Assemble product manuals and meet shipping deadlines (in consultation with Engineering Department).

CRM and ERP administrative support for lead management and sales activities (i.e. prospect and lead input, initial lead and customer profile creation, entering new customers, product classes, etc.).

Plan and schedule company or department lunches and events.

Assist in the development, organization, and maintenance of product specification and support material library for Sales (pictures, specifications, literature, brochures, etc. for Powell parts and equipment). Keep literature numbering system current.

Facilitate projects with third party vendors as needed for marketing communication and promotional materials (brochures, photos, videos, trade show materials, Powell swag, Powell store, etc.).

Assist in development of brand and design concepts used throughout the company.

Perform other related work and/or project assistance as directed by supervisor.

May function as back-up or fill-in for other positions.

Follow Powell policies and procedures at all times.

Excellent verbal and written communications skills and proper spoken and written grammar (in-person, social media, video, phone, email, presentation, and letter).

Passionately curious with questions to identify problems, opportunities, and offer appropriate solutions.

Excellent listening and notetaking skills.

Occasional travel may be required to support trade show and conference setup and logistics.

Expert level use of key Microsoft Office and Adobe Programs: (Word, PowerPoint, Outlook, Publisher, Illustrator, In Design, Acrobat, etc.)

Education & Experience

  • Requires high school diploma.
  • Degree in a related field is a plus.
  • Graphic design and writing training/experience; proficiency with graphics programs is a plus.
